Introduction
Who We Are
CV Converter is operated by Skywood AI, Inc., 855 El Camino Real, #13A-222 Palo Alto, California, 94301 ("we," "us," "our").
We act as:
- Data Controller for recruiter data (account, billing, etc.).
- Data Processor for candidate data (CVs uploaded by recruiters).
At Skywood AI, we respect privacy and protect the personal data entrusted to us. We handle two types of personal data:
- Users data – the information our direct users (such as recruiters) provide when creating an account and using the service.
- Candidate data – the personal information contained in the CVs recruiters upload.
This Privacy Policy explains how we handle both.
1. Information We Collect
1. Users of CV Converter
We collect only the information needed to provide and bill for the service:
- Name and contact details (e.g., email address).
- Billing information (e.g., payment details, company name if applicable).
- Account details and preferences.
- Technical data (IP address, browser type, usage logs) for security and performance.
2. Candidates (whose CVs are uploaded by the users)
Uploaded CVs may contain personal information such as:
- Name, contact details, and identifiers.
- Work and education history.
- Skills, certifications, and other professional details.
- In some cases, sensitive data is voluntarily included by the candidate.
We process candidate data only on behalf of direct users of our tool, for the sole purpose of converting and formatting CVs.
2. How We Use Your Information
For users
We use their data to:
- Provide access to the CV Converter service.
- Process payments and manage subscriptions.
- Maintain account functionality and security.
- Communicate service updates.
For candidates
Candidate CVs are processed only to deliver the conversion service requested by the direct users.
- We do not use candidate CVs for AI training, advertising, or profiling.
- We do not share candidate data with third parties, except as required by law or as necessary for secure hosting and processing.
3. Legal Basis for Processing (GDPR)
- User data – processed on the basis of contract (to provide the service) and legal obligation (billing and record-keeping).
- Candidate data – processed on the basis of legitimate interest and/or contract with the recruiter (the direct user is the controller, and we act as a processor). The direct users are responsible for ensuring they have the right to upload candidate CVs to our platform.
4. Data Storage and Retention
- We do not store any uploaded documents or CVs. Only the link to the CV template you provide is saved. Any uploaded files are used solely for processing and are automatically deleted immediately after processing.
- Direct user account and billing data is stored as long as the account is active and for as long as required by law for financial and compliance purposes.
5. Data Security
We implement industry-standard technical and organizational measures to protect your data, including encryption in transit and at rest. However, no system can be 100% secure and human errors occur, so there is the possibility that there could be unauthorized access to your information. By using our services, you assume this risk.
6. Sharing of Information
We only share data in limited circumstances:
- With service providers (e.g., secure hosting, payment processors) who process data on our behalf.
- If required by law, regulation, or court order.
- In the case of a business transfer (e.g., merger or acquisition).
We never sell our users or candidate data.
7. International Transfers
If data is transferred outside the EU/EEA, we ensure safeguards are in place (such as Standard Contractual Clauses) to comply with GDPR.
8. Rights Under GDPR
Users of the service
Users of our service have the right to:
- Access a copy of their personal data.
- Correct inaccurate information.
- Request deletion of their account data.
- Restrict or object to certain processing.
- Request data portability.
- Withdraw consent (where applicable).
- Lodge a complaint with a supervisory authority.
To exercise these rights, contact us at info@skywood.ai.
Candidates (whose data is uploaded via users of our service)
Since service users are the data controllers, candidates should contact the recruiter who uploaded their CV to exercise GDPR rights. We will support recruiters in fulfilling such requests if contacted.
9. Children's Privacy
Our service is not intended for children under 16, and service users should not upload CVs of minors.
10. Changes to This Policy
We may update this Privacy Policy to reflect changes in our practices. If changes are significant, users of our tool will be notified by email or through the platform before they take effect.
